The Big Event Structure

The Executive Director manages The Big Event executive team and acts as the official spokesperson and representative for The Big Event to the university community. Responsibilities include running all Big Event executive team meetings; training and advising The Big Event’s directors of community relations, campus relations, development, and Marketing; maintaining office hours; preparing an end-of-year evaluation of The Big Event; and managing The Big Event budget.

The main objective of this team is to work with all aspects of the KU community to ensure the highest number of volunteers possible for the day of The Big Event. This includes, but is not limited to Fall/Spring Awareness Week, creation and implementation of a Fall/Spring Pledge Drive, organization visits, tabling, incentive programs for participation, working with faculty and staff organizations and other University entities to ensure that all levels of the KU community are included.

The main objective of this team is to work with the residents of Lawrence, KS to find an adequate number of sites for volunteers to work at on the day of The Big Event. This includes, but is not limited to visiting homeowner associations, conducting Distribution Days, working with the City of Lawrence, visiting community organizations, and so forth.

The main objective of this team is to seek monetary donations from the KU and Lawrence community to ensure that the organization has the financial means necessary to operate. This includes, but is not limited to location, non-monetary donations, t-shirts, speakers, special events, creating a stratified donation package, and soliciting to local businesses for financial donations.

The main objective of this team is to prepare, oversee and manage all Big Event marketing campaigns, including production, design, and execution. They manage Big Event archives including photos, historical documents, etc. Act as liaison with local media including the creation of media releases and answering any press questions.

The Big Event Leadership Requirements

  • Position responsibilities begin in April 2021 and continue through April 2022
  • Have at least a 2.3 cumulative GPA at the time of application
  • Maintain a 2.3 semester GPA
  • Maintain at minimum two (2) weekly office hours during the business day in The Big Event office space
  • Must be available to attend Big Event executive team meetings on Tuesday evenings in the fall and spring semesters
  • Must be able to attend weekly Big Event meetings with advisors, specific area director, and co-coordinator(s)
  • Must be available to attend a fall and spring semester executive team retreat
  • Must be available to work on the day of The Big Event on April 23, 2022
  • Attend and participate in weekly Big Event directors meetings
  • Behave in a manner that serves as a model for all other members of The Big Event
  • Meet regularly with Big Event program advisors and assigned coordinators
